Vietnam Quality Control & Pre-Shipment Inspection Service

Receiving a container of goods that do not match your approved samples is one of the most costly problems in import sourcing. Vietnam Factory Sourcing puts an independent inspector inside the factory before your goods ship — checking your order against your specifications while the factory can still fix any issues. The cost of an inspection is a fraction of the cost of a rejected shipment or a retail return.

What This Service Includes

Pre-Shipment Inspection (PSI): Our inspector visits the factory when production is 80–100% complete. We check a statistically representative sample of your order against your approved specifications using AQL 2.5 for major defects and AQL 4.0 for minor defects.

In-Line Production Check: For larger orders, we offer mid-production inspections to catch quality issues before they affect the full batch — saving rework costs and preventing shipment delays.

Product-Specific QC Checklists: We use tailored checklists for each product category. Candles are checked for wax surface finish, wick placement, jar fill level, fragrance load, label accuracy, and cap fit. Ceramic planters are checked for glaze uniformity, cracks or chips, dimensional accuracy, and set color matching. Woven baskets are checked for weave density, moisture content (target below 14%), liner quality, handle attachment, and outer packaging condition.

24-Hour Photo Report: You receive a detailed inspection report within 24 hours of the inspection, including pass/fail status, defect photographs, defect classification, and recommended corrective actions if needed.

What Happens If the Inspection Finds Defects

If our inspection identifies defects above the AQL threshold, we issue a FAIL report with detailed photos and description of each defect type. We then liaise with the factory on your behalf to agree on a corrective action plan — rework, replacement, or re-inspection. We do not release a PASS report until the goods meet your specifications.

How much notice do you need to schedule a quality inspection?

We need at least 5 business days notice to schedule a pre-shipment inspection. Please contact us when production is at 80% completion so we can book the inspector and confirm the date with the factory. For urgent inspections, contact us directly by WhatsApp at +84 964 815 107.

What sampling method do you use during inspections?

We use the AQL (Acceptable Quality Level) sampling standard — the international norm for pre-shipment inspections. We apply AQL 2.5 for major defects and AQL 4.0 for minor defects by default, but can adjust these to match your retailer's specific requirements if needed.

Can you inspect products at any factory in Vietnam, not just your verified suppliers?

Yes. Our QC inspection service is available for any factory in Ho Chi Minh City and surrounding provinces, regardless of whether we sourced the factory for you. Provide us with the factory address, your order details, and approved specifications and we will schedule the inspection.

What is the cost of a pre-shipment inspection?

The fee depends on the product type, order size, factory location, and number of inspection days required. Initial consultation is free. Contact us with your order details and we will provide a transparent fee quote within 24 hours.

Pre-Shipment Quality Control Inspection Vietnam — Candles, Ceramics & Woven Baskets

Receiving a container of goods that do not match your approved samples is one of the most costly problems in import sourcing. Vietnam Factory Sourcing's quality control inspection service puts an independent inspector inside the factory before your goods ship — checking your order against your specifications so problems are caught and corrected before they become your problem.

Why Pre-Shipment Inspection Is Essential for Vietnam Imports

Vietnamese factories produce excellent quality — but like all manufacturing environments, variation can occur between your approved sample and mass production. Fragrance loads in candles can shift. Glaze colors on ceramics can batch-vary. Weave tightness in baskets can loosen under production pressure. A pre-shipment inspection catches these issues while the factory can still fix them, before the goods are packed into a container and shipped. The cost of an inspection is a fraction of the cost of a rejected shipment or a retail return.

Inspection Coverage by Product

For candles, our QC checks cover wax surface finish, wick placement, jar fill level, fragrance load, label print quality, cap fit, and outer carton condition. For ceramic planters, we check glaze uniformity, absence of cracks or chips, dimensional accuracy, color matching across the set, drainage hole size, and carton drop-test compliance. For woven baskets, we check weave density and consistency, moisture content (target below 14%), handle and rim attachment, liner quality, and outer packaging condition.

Book an Inspection Alongside Your Other Sourcing Steps
