A Vietnam factory visit means walking the actual production floor — not just the showroom — to verify capacity, workforce, equipment, and quality systems before placing a bulk order. Most importers visit 2 factories per day over a 3–5 day trip, accompanied by a local Vietnamese-speaking agent. Why Factory Visits Matter More Than Photos and Samples

A factory's Alibaba page, video call, and sample box tell you what the factory wants you to see. A physical visit tells you what is actually there. The most common problems buyers discover only on-site:

• Trading company, not manufacturer — takes your order, subcontracts to an unknown facility, keeps a margin
• Capacity mismatch — factory is too small to deliver your volume on time
• No real QC — defects are packed and shipped without being caught
• Equipment condition — outdated machinery producing inconsistent output across batches
• Subcontracting without disclosure — your approved sample was made in-house; your bulk order will not be

How to Prepare Before You Arrive

Write Your Questions Before the Visit — Not During

Walking into a factory without written questions produces impressions, not data. Prepare answers to these before you board the plane:

• Monthly production capacity for your specific product — and current utilization rate
• Full-time headcount vs seasonal/contract workers
• Lead time commitment for your order volume and delivery port
• MOQ per SKU, color, and material variant — not a blanket number
• Sample process: proto → pre-production → production pull
• In-process QC checkpoints — where, by whom, and how tracked
• At least two references from existing international buyers

Request Documents Before Arrival

Ask the factory to have these ready on visit day. An organized factory produces them within 24 hours — a disorganized one takes a week:

• Business registration certificate (Giấy chứng nhận đăng ký doanh nghiệp)
• Export license
• Applicable certifications: CE, REACH, ASTM F2417, ISO 9001, BSCI, FSC
• Recent third-party inspection or audit reports
• Product samples from a current production run — not display samples

What to Check on the Day

The Production Floor — The Most Important 30 Minutes

If the factory redirects you to a meeting room or showroom only — and declines or delays access to the production floor — treat this as a disqualifying red flag. Every legitimate manufacturer welcomes buyers to the floor.

On the floor, assess:

• Is the factory actively operating — or does it look staged?
• Does the worker count align with claimed monthly output?
• Is equipment operational, maintained, and appropriate for your product?
• Are there visible QC stations mid-line — not just an end-of-line sorting table?
• Is the floor organized and clean, or cluttered and unmanaged?

Raw Material Storage

For candles: check wax and fragrance storage conditions — moisture and heat cause batch inconsistency. For ceramic planters: assess clay and glaze storage and batch labeling. For woven baskets: check water hyacinth moisture content — high moisture leads to mold in shipping containers.

Packaging and Pre-Shipment Area

Observe how finished goods are packed, whether carton labels match your PO specifications, and whether there is a structured pre-shipment count step before the container is loaded.

Home Decor Factories: Category-Specific Checks

Candle Factories

Check wax type and supplier, wick centering precision (off-center by more than 2mm is a production failure), fragrance measurement process, glass container QC, and whether a burn test protocol exists. Request a 2-hour test burn from a production-run sample.

Ceramic Planter Factories

Assess kiln temperature control consistency, glaze application method, chip and crack rate out of the kiln, drainage hole precision, and inner packing quality for fragile goods. Confirm your color tolerance range — handmade ceramics have natural variation and this must be agreed in writing.

Woven Basket Factories

Check moisture content of raw material (ask to see their drying process), weave consistency at high-stress points (base corners and handle attachments), dye fastness (damp cloth rub test), and odor — musty smell indicates mold risk during ocean transit.
